Responsibilities
- Oversee the day-to-day operation of all Museum-contracted retail operations and ensure all vendor operations are consistent with contractual requirements and Museum protocols.
- Monitor and manage vendor performance consistent with Museum rules and regulations to promote safety and stewardship of Museum property.
- Ensure the cleanliness standards and visual expectations are being achieved by onsite vendors.
- Serve as project manager for the annual Columbian Ball and Black Creativity Gala and provide event planning support for other key Museum internal events, including strategy development and execution.
- Serve as point of contact for all production shoots, including contract negotiations and logistics coordination. Review all film/photography application and liaise with production team to assess, plan for, and monitor production shoots in Museum spaces, ensuring all Museum requirements for production shoots are met.
- Plan, produce, and execute event RFP (request for proposal), including developing scopes of work and identifying deliverables, budgeting, submitting requisitions and tracking payments, creating run of shows and group resumes, contract negotiations, and vendor management.
- Co-lead monthly meetings with food and beverage vendor and other Museum stakeholders including security, facilities, janitorial, and guest engagement for all proposed event and production shoot uses of the Museum to ensure group resumes fully reflect event operational needs.
- Monitor internal events calendar and lead bi-weekly, cross-departmental meetings.
- Serve as the staff subject matter expert and liaison in all aspects of planning and production of Museum events and production shoots including staffing requirements, cost containment, vendor management and other event best practices.
- Create and produce materials such as presentations and sale sheets for build business revenue.
- Other duties as assigned.
Qualifications
- Minimum of five (5) years of experience in event planning and production; at least two (2) years of experience managing vendor performance.
- Bachelor's degree is a plus.
- Museum and/or cultural properties experience and knowledge is a plus.
- Proficient in Microsoft Office Suite including Word, Excel, PowerPoint and Outlook.
- Strong customer service and project management skills.
- Excellent organization skills including multitasking, time management, and attention to detail.
- Exceptional oral and written communication, intrapersonal, and collaborative skills.
- Proven track record in supporting diverse stakeholders and leading small and large-scale events.
- High level of initiative and exceptional problem-solving skills with an ability to provide creative solutions in a diplomatic manner with minimal supervision.
- Ability to read, interpret, and edit budgets and proposals.
- Must be able to work evenings, weekends, and holidays as needed.
- Language:
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Ability to write routine reports and correspondence.
- Ability to speak effectively before groups of employees of the organization.
- Mathematical:
- Ability to calculate figures and amounts such as a percentages, currency, etc.
- Reasoning:
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
- Physical:
- While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel and talk or hear.
- The employee frequently is required to stand, walk, and reach with hands and arms.
- The employee is occasionally required to sit; climb or balance; stoop, kneel, crouch, or crawl; and taste or smell.
- The employee must occasionally lift and/or move up to 50 pounds.
- Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
- Work Environment:
- The noise level in the work environment is usually moderate.
The salary range for this position is $65,000 - $70,000.
